Our Process

  • We Get to Know You

    Through our Family Application and phone consultation, we learn about your family, your personalized needs, and what you’re looking for in a caregiver.

  • We Work Our Magic

    It’s time for you to sit back and relax! We take it from here and do what we do best-source only the most professional and passionate caregivers that match your needs and expectations. We will send over compatible candidate profiles for you to review and decide if you’d like to schedule an interview. All candidates presented will already have their references verified at this time and meet all agency requirements.

  • We Schedule Interviews

    As soon as you are interested in meeting one of our candidates, we will coordinate dates and times for you to meet. The meeting can take place over Zoom, in a public place, or at your residence (whatever you are most comfortable with). After all interviews, we check-in with you and the candidates to gather confidential feedback.

  • We Help You Hire

    Once you’ve found your perfect caregiver, we help you create an offer, customize a contract/working agreement using our provided template, aid in negotiations (if needed) and set you up with HomeWork Solutions, our payroll and tax partner. We will also run an extensive caregiver background check during this time.

  • We Schedule a Trial Period

    We schedule a trial period so your caregiver can get familiar with your children, learn about your day-to-day life, and see where they’ll be working. This will help them hit the ground running on their first official day. Trial periods are compensated by you at an agreed-upon rate and are usually 1-2 days long, working 4 hours minimum per day.

  • We Are Here to Support You

    Though our main job is done, we will always be here to support you along the way and are happy to assist however we can after a placement is complete. We love our families and want to make sure you feel happy and satisfied at all times!

Family Rquirements

  • Provide a schedule of at least 20 hours/week

  • Willingness to provide caregiver with legal pay (W-2, overtime pay)

  • Provide caregiver with a written working agreement/contract

  • Provide references from previous caregivers upon request

  • Willingness to adhere to industry standards:

    • Pay market rates based on experience, education, responsibilities/workload, and location (Chicagoland rates are currently $27-$35+/hr.)

    • Provide guaranteed hours and pay

    • Provide PTO, paid holidays, sick/personal days

    • Mileage reimbursement based off current IRS guidelines (if caregiver is required to use their own vehicle while on the job)

Screening Process

Here at Career Nannies and Household Staffing we take the quality of care we offer as well as the safety and privacy of your family extremely seriously. Our candidates go through a rigorous multi-step screening process so you can be confident you are welcoming an experienced and trustworthy caregiver into your home. Here is a look at what our screening process entails:

  • Formal application review

  • Phone screening

  • In-person or virtual interview (if all requirements are met and we have received references and letters of recommendation)

  • Online presence check

  • Detailed reference checks

  • Background check-

    • Social Security Trace

    • National Criminal and Sex Offender Search

    • County Criminal Search

    • Previous County Criminal Search (up to 2)

    • Motor Vehicle Report

 

Our Fees

We believe hiring a caregiver is not only an investment in your child(ren)’s well-being but an investment in your family’s as well.

 
 
  • Upon retaining our services there is a non-refundable $500 family application fee. This fee will go towards your total placement fee and helps us get the ball rolling on sourcing candidates, conducting interviews, contacting references, administering background checks etc.

  • Nannies, Nanny Managers, House Managers-

    • Flat rate of $3,500

    Summer/Temporary Nannies (up to 3 months)-

    • $800/month or flat rate of $2,200 for 3 months.

    Placement fees are due only after a working agreement has been reached with one of our caregivers and is to be paid before their first official day of employment. The final placement fee will be inclusive of the initial $500 Family Application Fee paid upon retaining our services.

    *90-Day Replacement Policy (Guarantee)-if a candidate doesn’t end up being a good fit (reasonably) for your family, we will provide one replacement free of additional charges and fees within 90-days of their first day of employment.

  • Current market rates for professional caregivers in the Chicagoland area are $25-$35/hr. and are based on location, education, experience, and responsibilities.

    Professional caregivers also typically receive:

    • At least 2-weeks paid vacation

    • Paid Holidays

    • Sick and Personal days

    • Monthly Health Insurance Stipend (if applicable)

    • Mileage Reimbursement (if using their personal vehicle on-the-job)

    • Yearly COL and performance based raises

    • End of Year or Holiday Bonus (at Employer’s discretion)

 

Payroll Information

We encourage that all our caregivers be paid legally or “on the books” as an in-home employee and be provided with a W-2 at the end of the year. We understand becoming an employer can be time-consuming and confusing, so to help take that stress away, we have partnered with HomeWork Solutions, the nationwide leader in nanny payroll and taxes. As a Career Nannies and Household Staffing client, we have also arranged for the enrollment fee to be waived when you mention our name!
